Category - Enter the category against which you want the transaction to be analysed. The Category must first be set up in the Preferences/Settings/Accounts followed by Transaction Category.
Reference - Enter the reference number of the payment to tie in with your bank statements.
Description - Provide a meaningful description of the transaction. When the payment is debited to the bank account (see below) the system will add the words "Payment #" to the description for easy identification.
Last payment Number - This value cannot be changed but allows you to see the last payment number.
Missed Payments - This value cannot be changed but will record how many payments have been missed if one of the payments has been cancelled by the user for whatever reason.
Number of Payments - Enter the number of payments you wish to make.
Payments Left - This value cannot be changed but allows you to see how many payments are left to be made.
Indefinite Payments - If you wish to make more than 12 payments then tick this box. it is up to you to then cancel the payment when you wish the payments to cease.
Start Date - Enter the date of the FIRST payment to be made.
Next Payment - Enter the date of subsequent payments. Note that the system on payments 2 and above will attempt to make the payment on that date on a regular cycle.
Nett - Enter the amount of the payment.
Tax Code - Enter the tax code that is relevant to this payment. Note that this might have already been pre filled for you if a tax code has been assigned against the expense category.
Tax - This is the amount of tax that has been calculated.
Gross - This is the gross value of the transaction and the amount that will be debited from the bank account.
Bank account to be debited - This is the bank account you wish to debit this payment to.
Cancelled - If for any reason you wish to cancel the payment then tick this box when you will be asked for the date the payment was cancelled and a reason. The payment will then be assigned the completed status and no further payments will be made. |
